Privacy Policy
This Privacy Policy describes how TalktoFit ("TalktoFit", "we", "us", or "our") collects, uses, stores, and shares information when you use the TalktoFit website, mobile application, Apple Watch companion app, and related services (collectively, the "Service").
The information processed depends on the features you use, your permissions, and the features available in your app version. Your choices and how to contact us are described below.
1. Who we are
TalktoFit is operated by Mustafa Cihat Aykaş ("Data Controller"). For privacy-related requests, contact us at hi@talktofit.app.
2. Information we collect
We collect the following categories of information when you use the Service:
- Account information: email address, authentication identifiers, and optional display name when you register or sign in (including via Apple Sign In, Google, email and password, or magic link).
- Profile information: information you provide during onboarding or in your profile, such as gender, date of birth, height, weight, preferred units, language, coach persona and voice preferences, and a profile photo if you choose to take one with the camera or select one from your photo library. Profile photos are stored in a public storage bucket, so anyone with the file URL may be able to view the image. Details entered before sign-in may be kept locally and transferred to your account after authentication.
- Body-weight history: dated weigh-ins you save, including the weight value and date, used to show changes over time and personalize training reports and coaching.
- Workout data: exercises, sets, reps, weights, durations, distances, estimated calories, routines, training programs, and workout history you log manually, by typed command, or via voice. In the updated workout experience, we also store session state, changes to your workout, command results, and your answers to coach clarification questions so sessions can resume and changes can be applied or undone consistently.
- Workout notes: free-text notes and optional categories you add during or after a workout, which may include how you felt, pain, sleep, symptoms, and body-region tags. These notes are stored with your account.
- Voice and audio data: when you use voice logging on iPhone or Apple Watch, the app accesses the device microphone to capture audio for workout commands. On the current iOS product, audio is transcribed on your device using an on-device speech model (WhisperKit). We send the resulting text transcript and workout context to our backend and AI providers so it can be turned into workout entries or coach responses. Voice messages to the AI coach follow the same local transcription approach. Transcripts may be saved as chat messages or, in the updated workout experience, as part of the workout conversation record. We do not upload your microphone recordings to our servers or a cloud transcription provider. The current product has no cloud speech-recognition fallback. Microphone access is used for recording sessions you initiate.
- On-device speech model: the first time you set up voice logging on iOS, the app downloads a speech-recognition model (hundreds of megabytes) from our content delivery storage and keeps it on your device for local transcription. Model files are separate from your personal workout records.
- Apple Watch and HealthKit: if you use the TalktoFit Watch app, we sync workout state between iPhone and Watch (exercises, sets, notes, routines, rest timer, Pro status, and language). Voice recorded on the Watch is sent to the paired iPhone for on-device transcription. During an active workout the Watch may read heart rate and active energy through HealthKit and start a workout session so the app can stay on screen. Active energy is displayed on the Watch. Heart-rate readings can also be sent to the paired iPhone. When heart-rate context is available for in-workout coaching, the phone can send the latest reading, its measurement time, and a short recent summary to our backend and AI providers. This helps the coach respond to the current session; it is not medical monitoring. The app does not save this HealthKit workout session to Apple Health. Raw heart-rate sample history is not stored in the workout conversation record, but saved coach replies may refer to measurements.
- AI coach interactions: messages you send to the in-app AI coach, chat history, and intake details you provide (such as training goal, home/gym location, injury notes, experience level, and days per week). The coach may use your profile, body-weight history, workout history, notes, routines, current session, and report summaries to answer questions and propose or apply workout changes. Chat messages, replies, intake details, training preferences and constraints, generated programs, and assessments are stored with your account. In-session conversations and clarification choices may also be retained with the workout.
- Spoken coach replies: where voice playback is available and enabled, we send the generated coach reply text, language, and selected coach voice settings to Inworld to generate audio streamed back to your device. Reply text may contain workout or health details discussed with the coach. This sends generated text, not your microphone recording. You can mute coach speech in the app. Coach introduction previews are prerecorded audio bundled with the app.
- Subscription and billing status: information about your TalktoFit Pro subscription status, trial period, renewal, and billing issues as reported by Apple, Google, and our subscription provider. We do not receive or store your full payment card details. We also store usage counters used to enforce access and fair-use limits, such as transcript requests and coach messages.
- Device and usage data: app interactions, feature usage, crash reports, performance data, device type, operating system version, network connectivity state (online/offline), and similar technical information collected through analytics and error monitoring tools.
- Notifications: with notification permission, the app schedules workout and weekly report reminders locally on your device and can show a local alert when an AI coach reply is ready. Reminder settings are stored on your device. This reminder flow does not register a remote push token with our backend. Your device settings control whether notification content appears on the lock screen.
- Local device storage: the app stores drafts, preferences, onboarding flags, caches, and authentication tokens on your device to remember your settings and support local work. Local speech recognition does not make all features available offline: server processing, AI replies, subscriptions, and synchronization require a network connection.
- Website and support: the website stores your light or dark theme preference in browser storage. Our hosting provider processes technical request data, such as IP address, browser information, and requested URLs, to serve and secure the site. If you email us, we receive your email address and the information you include in the message.
3. How we use information
We use your information to:
- Provide, operate, and improve the Service, including on-device voice-to-workout logging, Apple Watch companion features, and AI coaching;
- Authenticate you and maintain your account;
- Sync and store your workouts, notes, body-weight history, routines, programs, and progress analytics;
- Maintain workout conversations and changes, personalize coaching, and play spoken coach replies;
- Process subscriptions, enforce access to Pro features, and apply fair-use usage limits;
- Deliver exercise demonstration media, coach previews, and the on-device speech model;
- Send service-related communications and, where permitted, notifications;
- Monitor reliability, diagnose errors, and protect against abuse or fraud;
- Understand aggregate product usage and improve features.
Our analytics practices are designed to avoid sending raw voice audio, voice transcripts, chat message content, free-form workout notes, or heart-rate values to product analytics tools. We may send event names, counts, and categorical metadata instead. Product analytics and diagnostics are associated with identifiers and technical context; they are separate from the personal context processed for AI coaching.
4. How we share information
We share information only as needed to operate the Service, including with:
- Supabase — authentication, database hosting, file storage (including profile photos), and backend functions that process and store account records, workouts, transcripts, and AI coach requests;
- OpenRouter — routes AI requests from our backend to third-party models. We currently use models such as Google Gemini for workout commands and in-session coaching, and DeepSeek for broader coach conversations and planning. OpenRouter and the selected model providers receive the messages and relevant personal context described above, including heart-rate context when supplied. Models may change, and provider processing is subject to the applicable service terms and privacy practices;
- Inworld — turns generated coach reply text into speech when spoken replies are enabled and available. It receives the reply text and voice settings needed to produce the audio;
- Cloudflare — content delivery for the on-device speech model and exercise demonstration media (images and videos), and hosting of this website. Content delivery storage is used for product assets, not for your personal workout audio or profile photos;
- PostHog — product analytics and feature flags;
- Sentry — error and crash reporting (typically a user identifier and technical metadata, not workout or chat content);
- RevenueCat — subscription management and entitlement verification;
- Apple and Google — when you use Sign In with Apple, Google Sign-In, in-app purchases through their app stores, or Apple Watch / HealthKit;
- Service providers — vendors who help us host, secure, or support the Service under contractual confidentiality obligations;
- Legal requirements — when required by law, regulation, legal process, or to protect rights, safety, and security.
We do not sell your personal information.
5. International transfers
Your information may be processed in countries other than your own, including countries that may have different data protection laws. Where required, we rely on appropriate safeguards for cross-border transfers.
6. Retention
We retain account, workout, note, body-weight, program, and AI coach data for as long as your account is active or as needed to provide the Service, comply with legal obligations, resolve disputes, and enforce our agreements. Raw microphone audio is not stored on our servers. Text transcripts submitted as coach messages, and transcripts used in the updated workout conversation flow, are stored alongside the replies and associated session records. Usage counters and derived coaching context may also remain while your account exists.
You can delete your account in the app (Profile → Danger zone → Delete account). After successful confirmation, the account and linked database records, including workouts, notes, weigh-ins, routines, programs, coach chats, and workout conversation records, are deleted. This cannot be undone. The deletion process also attempts to remove your profile photo; a storage failure can leave the photo accessible even if account deletion succeeds. Contact us if a photo remains accessible. You may also request deletion by emailing hi@talktofit.app.
Deleting your TalktoFit account does not cancel an App Store or Google Play subscription — you must manage or cancel that subscription in your store account. Some records held by third parties (including billing, analytics, diagnostics, and AI service providers), and copies in backups or caches, may remain according to applicable retention practices and legal requirements. Account deletion does not guarantee immediate erasure of every third-party record or every local file on all paired devices.
7. Your rights
Depending on your location, you may have rights to access, correct, delete, restrict, or object to certain processing of your personal information, and to data portability. Residents of the European Economic Area and the United Kingdom may also lodge a complaint with a supervisory authority. Users in Türkiye may exercise rights under the Personal Data Protection Law (KVKK) by contacting us.
You can update much of your profile information in the app and delete your account there. The Service does not currently offer a self-serve data-export file. To request a copy of your personal data, or to exercise other rights, email hi@talktofit.app. We may need to verify your identity before responding.
You can control microphone, camera, photo, HealthKit, and notification permissions in your device settings, change reminder preferences and mute coach speech in the app, and clear this website's theme preference through your browser's site-data controls. Turning off a permission limits the related feature; it does not delete information already saved to your account.
8. Security
We use administrative, technical, and organizational measures designed to protect your information. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security. Profile photos stored in the public avatars bucket should not be treated as private.
9. Children
The Service is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.
10. Changes to this policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and update the "Last updated" date. Material changes may also be communicated through the app or by email where appropriate.
